We're looking for a Executive & Operations Assistant

We are currently looking for a new team member to be the CEO's right-hand person. This person should have excellent time management skills, the ability to prioritize tasks effectively, and help ensure the smooth running of day-to-day activities.

Who We're Looking For and What You Need to Have:

  • Experience in a similar role: Ideally, you've worked in a similar position before.
  • Flexible and versatile personality: Someone who isn't afraid of doing different types of tasks.
  • Strong communication skills in Czech and English: You should be able to communicate well in both languages.
  • Effective calendar management: You need to be good at scheduling and organizing appointments, meetings, and business trips while keeping priorities in mind.
  • Quick learner: You should be eager to learn new skills quickly.
  • Communication and coordination: Preparing meeting documents, managing emails, and making sure there is clear communication between the CEO and other team members.
  • Organizing tasks and priorities: Helping plan the CEO's daily schedule and ensuring all important tasks are done on time.
  • Administrative support: Managing paperwork, preparing reports and analysis, overseeing projects, scheduling meetings, and ensuring the CEO is prepared (with the right documents, equipment, and people).
  • Flexibility and quick decision-making: Being able to quickly adapt to changes and come up with solutions on your own when needed.
  • Ability to think ahead: Understanding that we are constantly developing and need to plan for future needs.
  • Knowledge of office software: Must be familiar with tools like MS Office and Google Suite.

What You Would Be Responsible For in This Role:

  • Task control: Watching over and making sure all tasks are finished, including those of other team members.
  • Project Management: Helping to plan and oversee projects.
  • Managing the CEO’s Calendar: Organizing the CEO's schedule, setting up calls and meetings, and making sure everything is well-planned.
  • Monitoring Deadlines: Keeping track of important dates and deadlines for the CEO.
    Administrative Support: Handling office tasks like managing emails and preparing documents for the CEO to sign.
  • Task management: Organizing and prioritizing tasks to ensure they are done on time.
  • Travel management: Organizing all parts of business trips for the CEO, like booking flights and hotels.
  • Handling various tasks: Taking care of different tasks, both for work and personal needs of the CEO.
  • Scheduling meetings: Arranging face-to-face and online meetings, confirming them, and preparing any needed documents.
  • Attending meetings: Going to some meetings with the CEO, taking notes, and sharing the tasks and information afterwards.
  • Team Collaboration: Working with other team members on different tasks and projects.
  • Presentations and budgeting: Creating presentations and keeping track of budgets and financial plans.
  • Completing ad-hoc tasks: Handling various tasks and problems as they come up, as assigned by the CEO.
  • Problem-solving: Being ready to take on difficult tasks right away and solving them step-by-step.
